 At Happy Hearts Playcare, we believe in building a village for families. Our policies are designed to keep our space safe, joyful, and dependable for every child who walks through our doors.

Thank you for partnering with us to create a healthy and positive environment for everyone.

Happy Hearts Playcare offers flexible, as-needed childcare designed to support busy families.

• No long-term commitment or enrollment required
   
• Walk-ins are welcome when space allows
   
• Pre-registration through our website and app helps make check-in smooth and simple
   
• Time is billed hourly and rounded up to the next full minute

We are here to support you when you need a few hours, a reset, or a helping hand.

We care for children ages 12 months through 12 years, creating a space where toddlers through big kids can play, connect, and grow.

Every child matters here.

If your child has special needs, medical conditions, behavioral support needs, or requires additional accommodations, we ask that you email us before scheduling care so we can connect and discuss your child’s unique needs.

Because we operate as a flexible drop-in program with varying daily ratios and staffing, advance communication allows us to thoughtfully determine:

• Whether we can safely support your child in our group setting
   
• What documentation or information may be helpful
   
• Which days or times might provide the best experience
   

We love partnering with families whenever possible. At the same time, we must ensure we can safely meet each child’s needs within our staffing structure.

To keep our environment balanced and aligned with drop-in care standards:

• Children may attend up to 4 hours per day
   
• Extended care may be available on school-out days, holidays, and during summer break
   
• Weekly packages allow up to 4 hours per day over 6 consecutive days
   
• Weekly package hours must be used within the same calendar week
   
• Children who are actively on a waitlist for a licensed daycare may attend up to 8 hours per day, with documentation of waitlist status submitted and approved
   
• All attendance remains subject to daily capacity limits
   

Our goal is to serve families well while maintaining a sustainable model for everyone.

We offer simple, kid-friendly meal and snack options prepared on site.

Options may include:

• Chicken nuggets
   
• Peanut butter and jelly sandwiches
   
• Beef hotdogs
   

Each meal includes:

• A fruit cup or applesauce
   
• String cheese
   

Families are always welcome to send labeled food and snacks from home. To help maintain a positive and inclusive environment, we kindly ask that specialty or elaborate snacks be kept to a minimum.

We are a nut-permitted facility. Please notify us of any allergies or dietary needs so we can take appropriate precautions and care.

A healthy village is a strong village.

Because we share toys, spaces, and close interaction, illnesses can spread quickly. We take sickness guidelines seriously to protect all children and staff.

• Fever of 100.4°F or higher within the last 24 hours
   
• Vomiting within the last 24 hours
   
• Diarrhea within the last 24 hours
   
• Persistent or uncontrolled coughing
   
• Thick or excessive nasal discharge
   
• Any unexplained rash
   
• Eye redness or discharge
   
• Strep throat until 24 hours after antibiotics begin
   
• Flu, RSV, COVID, or other contagious illness until fever-free for 24 hours without medication or medically cleared
   

Children must be symptom-free for at least 24 hours without fever-reducing medication before returning.

If someone in your home is currently experiencing fever, vomiting, diarrhea, flu, COVID, RSV, or another contagious illness, we ask that your child remain home as well.

We understand it can be tempting to seek rest when you are not feeling well. However, exposure within the home makes children highly likely to be contagious, even before symptoms appear.

Keeping children home during household illness protects our entire community.

If a child becomes unwell while attending:

• A parent or guardian will be contacted
   
• Prompt pickup will be required
   

We reserve the right to refuse care if a child appears unwell or has been recently exposed to contagious illness.

Our goal is always prevention, not inconvenience. Thank you for helping us keep our village healthy.

• Payment is due at pickup unless using a prepaid package
   
• Hourly care is billed based on check-in and check-out time and rounded up to the next full minute
   
• Prepaid packages are available at discounted hourly rates
   
• All package hours must be used within 12 months of purchase
   
• Saturday Date Night Packages must be used within 2 months of purchase
   
• Repeated no-shows or unpaid balances may result in restricted reservation access
   

Our Saturday Date Night Package includes:

• 4 Saturday evenings
   
• 5 PM to 9 PM
   
• Popcorn and pizza dinner provided
   

Spots are limited and reservations are encouraged.

At this time, Date Night reservations cannot be made directly through the app.

To reserve your Date Night, please call us directly or add the Date Night package to your family profile.

We are currently transitioning to new software that is growing alongside us. Thank you for your patience as we continue improving our systems for your family.

If we reach capacity and your family attempted to reserve, we will work with you to ensure you receive all four nights within your package window.

If you are unable to attend, please cancel as soon as possible so another family may use the space.

We appreciate your communication and partnership.

Children must be picked up by closing time.

Late pickups may result in additional charges.

By purchasing a prepaid package, families agree to the following:

• All package hours must be used within 12 months of purchase
   
• Extensions may be granted at the owner’s discretion in special circumstances
   

Refunds are considered in limited circumstances such as relocation, medical hardship, or permanent facility closure.

If approved:

• Used hours will be recalculated at the standard rate associated with the package
   
• The remaining balance will be refunded after prorating used hours
   

Unused or expired hours are not eligible for partial refund unless approved at the owner’s discretion.
